Review your contract documents

Locate your Product Order Form (POF) and Master Services Agreement (MSA). The POF defines your exact Subscription Period end date and any custom notice requirements. The MSA (v2.2) is publicly available at https://www.darktrace.com/legal/master-services-agreement.

Calculate your notice deadline

Determine how many days before your contract end date you need to give notice. If no specific notice period was negotiated in your POF, aim for at least 90 days before the renewal date. Darktrace procurement advisors (e.g., Vendr) recommend negotiating a 90-day notice period into contracts upfront.

Contact your Account Executive or Renewals Manager in writing

Email your assigned Darktrace Account Executive (AE) or Renewals Manager with written notice of non-renewal. If you do not know your AE's contact, reach out via the Customer Portal at https://customerportal.darktrace.com/login (navigate to 'Support Tickets') or call support: North America +1 866 300 1261, Europe/APAC +44 (0) 808 189 3465.

Confirm non-renewal in writing

Request written confirmation from Darktrace that your non-renewal notice has been received and that the contract will terminate on the Subscription Period end date. Keep this confirmation for your records.

Send data deletion instructions

Per Darktrace's Data Processing Addendum, send explicit written instructions to your AE or to privacy@darktrace.com requesting deletion of all Customer Data upon termination. Darktrace is contractually obligated to delete or return all Customer Data per your written instructions.

Return physical appliances (if applicable)

For on-premises deployments with physical Darktrace appliances: de-install all software, remove all Customer Data from the appliance, and return the hardware to Darktrace following their packaging and shipping instructions. Carriage costs are at the customer's expense.

Confirm service termination

On or after your contract end date, verify that access to Darktrace services (including the Customer Portal at https://customerportal.darktrace.com) has been terminated and that you have received written confirmation of data deletion.
