Review your contract terms
Before initiating cancellation, locate your SAP SuccessFactors contract or Order Form. Note the contract end date and the required notice period โ SAP SuccessFactors enterprise agreements typically require written notice 60โ90 days before the renewal date. Cancellation mid-term is generally not permitted; you remain liable for the full contract term.
Log in to SAP for Me portal
Go to https://me.sap.com and sign in with your S-user ID (SAP user account). This is the central portal for managing your SAP relationship, support cases, and contract information. If you do not have an S-user, your company's SAP administrator (super-admin) must be used.
Locate your contract and Account Executive
In SAP for Me, navigate to 'Systems & Provisioning' or 'My Contracts' to find your SuccessFactors subscription details. Note your Customer Number and contract reference. Your dedicated SAP Account Executive or Customer Engagement Executive (CEE) contact is listed under your account profile or in your original contract paperwork.
Contact your SAP Account Executive
Call or email your SAP Account Executive (or Customer Engagement Executive) directly to declare your intent to cancel. If you cannot identify your AE, call SAP global support at +1-800-872-1727 (US) or your regional SAP office. Reference your Customer Number and contract ID. SAP does not offer a self-service cancellation button for enterprise SuccessFactors subscriptions โ all cancellations must be initiated through your AE or a formal written request.
Submit formal written cancellation notice
Send a formal written cancellation notice via email to your Account Executive and CC contracts@sap.com (or the contract management address specified in your agreement). Include: company name, SAP Customer Number, SuccessFactors contract/order number, requested termination date, and authorized signatory name. Request written confirmation of receipt. Some contracts require notice via certified mail โ check your agreement.
Export your data before contract end
Before the contract expires, export all HR data from SAP SuccessFactors. In the Admin Center, go to 'Import & Export Data' โ 'Export' to download employee records, org charts, and other data. For large data sets, use the Compound Employee API or contact your implementation partner. SAP deletes tenant data after the contract ends per their data retention policy.
Confirm cancellation and end-of-service date
Obtain written confirmation from SAP specifying the exact date your SuccessFactors tenant will be deactivated. Verify no auto-renewal has triggered. Keep this confirmation for billing records. If you are billed after the agreed end date, escalate via SAP for Me by opening a support ticket under 'Billing & Contract'.
