What happens to my account after I cancel?

In most regions, your Zoho Workplace account is downgraded to the free plan and you retain access to basic features. In regions where no free plan is available, your organization account is locked and all users lose access immediately. To regain access you must re-subscribe to a paid plan.

Can I get a refund after cancelling?

Yes, Zoho offers pro-rata refunds for mid-cycle cancellations. For subscriptions purchased online, email payments@zohocorp.com with your account and subscription details. For offline/invoiced purchases, email sales@zohocorp.com. Refunds are not automatic — you must request them.

What happens to my data after cancellation?

Your data remains accessible on the free plan. However, Zoho warns that data cannot be recovered after an organization account is deleted. Back up all emails, files, and data before cancelling, especially if your region will lock the account rather than downgrade it.

Can I reactivate my paid subscription after cancelling?

Yes. You can re-subscribe at any time by logging back into the Admin Console, going to Subscription → Overview, and selecting a paid plan. If your account was locked (regional no-free-plan scenario), resubscribing will restore access.

Will cancelling affect all users in my organization?

Yes. Cancellation is organization-wide. All users will be moved to the free plan (or locked out in unsupported regions). Individual users cannot cancel on their own — only the Super Admin controls the subscription.

Can I cancel mid-cycle or must I wait until renewal?

You can cancel immediately or schedule the cancellation for the end of the current billing cycle. Zoho gives you this choice during the cancellation confirmation step. Immediate cancellation triggers a pro-rata refund eligibility for the unused period.

Log in as Super Admin

Go to https://mailadmin.zoho.com and sign in with your Super Admin account credentials. Only the Super Admin can cancel the subscription — regular users and other admins cannot access billing controls.

Open Subscription Overview

In the left-hand sidebar of the Admin Console, click 'Subscription', then select 'Overview' from the submenu that appears.

Click 'Manage Subscription'

On the Subscription Overview page, click the 'Manage Subscription' button to open the plan management interface.

Select 'Change Plan'

Inside the Manage Subscription panel, click the 'Change Plan' button to see your current plan and all available options.

Click 'Cancel Subscription'

Scroll to the bottom of the Change Plan page to find the 'Cancel Subscription' link (it is intentionally small and below the paid plan options). Click it.

Select a cancellation reason

A dialog box appears asking you to choose a reason for cancellation from a dropdown (e.g., 'Too expensive', 'Switching to another service', etc.). Select the most applicable reason.

Confirm and move to Free Edition

Click 'Move to Free Edition' (or 'Confirm Cancellation') to complete the process. You may be shown an option to cancel immediately or at the end of the current billing cycle — choose your preference. The subscription is now cancelled and your account downgrades to the free plan.
