Review your contract renewal date
Log in to your iCIMS platform or locate your original subscription agreement to find your contract end/renewal date. iCIMS contracts auto-renew annually, so you must initiate cancellation before the renewal date to avoid being locked in for another term. Check your email for the original order confirmation or contact your finance team for the contract start date.
Contact your iCIMS Account Executive or Customer Success Manager
Reach out directly to your assigned iCIMS Account Executive (AE) or Customer Success Manager (CSM). You can find their contact details in past email correspondence or in the iCIMS Community portal (community.icims.com). If you cannot locate them, call iCIMS Support at +1 (800) 889-4422 and ask to be connected to your account team.
Submit written notice of non-renewal
Per the iCIMS Subscription Agreement, cancellation/termination notice must be submitted in writing via confirmed email (with read-receipt or reply confirmation) or overnight courier. Send a formal written notice stating your intent to cancel or not renew at the end of the current subscription term. Address it to your Account Executive and CC accounts@icims.com. Include your company name, account ID, and the effective termination date (end of current term).
Complete the offboarding/exit process
Your Customer Success Manager will initiate an offboarding workflow. This typically includes a call to discuss your reasons for leaving (expect retention offers such as discounts, feature unlocks, or contract restructuring). Confirm in writing that you wish to proceed with cancellation despite any offers.
Export your data before access ends
Before your contract end date, export all candidate records, job requisitions, reports, and any other data from the iCIMS platform. Use the iCIMS reporting tools or request a data export via your CSM. Upon termination, iCIMS may immediately deactivate your account and delete all associated data with no recovery option.
Obtain written cancellation confirmation
Request and save a written confirmation from iCIMS acknowledging your cancellation and the effective termination date. This protects you against unexpected renewal charges. Verify your final invoice — any charges billed after iCIMS processes your cancellation notice should be refunded per their terms.
