What happens to my data after I cancel?

You retain read-only access for 1 year from the cancellation date. You can view and export reports but cannot add transactions or edit data. After 1 year, your data is permanently deleted from Intuit's servers with no recovery option.

Will I get a refund if I cancel an annual plan mid-year?

No. Annual plan prepayments are non-refundable after the first 30 days. You keep access until the end of your paid period, but unused months are not credited or refunded. Monthly subscribers are not charged again after cancellation but do not receive a partial refund for the current billing period.

Can I reactivate my subscription after cancelling?

Yes, within the 1-year read-only window. Log back in and click 'Resubscribe' — your existing data will be fully restored and editable. After the 1-year window closes and data is deleted, you must start a brand-new subscription with no data recovery.

Does cancelling QuickBooks Online also cancel payroll or payment processing?

No. Payroll and payment processing add-ons are separate subscriptions and must be cancelled independently. Cancelling QBO does not automatically stop charges for linked add-ons.

Can I cancel through the mobile app?

Not for direct Intuit subscriptions — cancellation must be done via a web browser at app.qbo.intuit.com. If you subscribed through the Apple App Store or Google Play Store, you must cancel through those stores' subscription management settings instead.

What if I'm not the Primary Admin — can I still cancel?

No. Only the Primary Admin or Company Admin can cancel a QuickBooks Online subscription. The cancel option is not visible to secondary admins or accountants. Contact the primary account holder to proceed with cancellation.

Sign in as Primary Admin

Go to app.qbo.intuit.com and sign in. Only the Primary Admin or Company Admin account can cancel — the cancel option is not visible to other user roles. Cancellation must be done via a web browser, not the mobile app.

Open Subscriptions and Billing

Click the Gear icon (⚙) in the top-right corner of the dashboard, then select 'Subscriptions and billing' from the dropdown menu. Some UI versions show this as 'Account and Settings' → 'Billing & Subscription' tab.

Click 'Cancel subscription'

In the QuickBooks Online section of the billing page, click the 'Cancel subscription' or 'Cancel online' link.

Complete the cancellation survey

A cancellation survey appears. Select a reason for cancelling from the dropdown menu, then click 'Continue to cancel'.

Confirm on the benefits reminder page

A page appears showing product benefits and your last day of service access. Review the information, then click 'Continue to cancel' again to proceed.

Acknowledge cancellation confirmation

A confirmation pop-up displays: 'Your subscription is cancelled.' Click 'Got it' to close. A confirmation email is sent to the account's primary email address.
