Can I cancel my Greenhouse subscription mid-contract?

No. Greenhouse contracts are explicitly non-cancelable during the term per their Master Subscription Agreement. You can only prevent auto-renewal at the end of your current contract term by giving at least 30 days written notice.

Will I get a refund if I cancel?

Refunds are only available in two narrow cases: if Greenhouse commits a material breach uncured within 30 days of written notice, or if their monthly uptime falls below 90% and you accumulate enough SLA credits to trigger a termination-for-cause. Standard non-renewals receive no refund.

Review your contract end date

Locate your Customer Success Manager

Find the contact details for your assigned Customer Success Manager (CSM) or Account Manager — these are assigned to every Greenhouse customer. If unknown, use accounting@greenhouse.io or open a support ticket at support.greenhouse.io/hc/en-us/requests/new.

Export your data via the Harvest API

Before cancelling, export all candidate and hiring data using the free Harvest API (developers.greenhouse.io/harvest.html). Access is revoked on termination and data is permanently deleted 90 days after contract end.

Send written non-renewal notice

Send a written notice of non-renewal to your CSM or Account Manager at least 30 days before your renewal date (90–120 days recommended). Include: company name, account ID, statement of intent not to renew, contract end date, and a request for written confirmation.

Request a post-termination data export file

Simultaneously with the non-renewal notice, submit a formal request for a data export file in a 'reasonably usable digital format'. This must be requested within 30 days of termination. Note: Greenhouse may charge its standard migration rates for this export.

Obtain written confirmation of non-renewal

Follow up until you receive written confirmation from Greenhouse acknowledging the non-renewal. Keep this on file. Greenhouse is contractually required to notify you of auto-renewal at least 60 days before it occurs.
