When do I need to cancel to avoid being charged for another year?

You must send written notice at least 60 days before your renewal date. Planhat contracts auto-renew for the same period as the initial term (typically annual). Missing the 60-day window means you are contractually obligated to pay for the full next period.

Can I cancel Planhat mid-contract?

Generally no. The Terms of Service state neither party may terminate during the Subscription Period except for cause — such as a material breach by Planhat, insolvency, or non-payment more than 15 days overdue. Standard mid-contract cancellation does not entitle you to a refund.

Will I get a refund if I cancel?

Only in specific circumstances: if Planhat terminates the agreement (not due to your breach), or if you terminate for Planhat's material breach, you are entitled to a pro-rata refund of prepaid fees for the remaining period. Standard end-of-term cancellation by the customer carries no refund.

Can I still access my data after cancellation?

You must export your data before the contract end date. Per Planhat's Terms of Service (Section 3.5), customer data is deleted at or shortly after termination with no stated grace period for post-termination access. Use the spreadsheet export or API to retrieve your data in advance.

How do I reactivate a cancelled Planhat account?

Contact Planhat sales or your former CSM to negotiate a new contract. As an enterprise platform, reactivation requires a new commercial agreement — there is no self-service reactivation.

Check your contract renewal date

Log into your Planhat account and review your contract terms to find your renewal date. Planhat contracts auto-renew unless you give at least 60 days written notice before the renewal date. Missing this window locks you into another full term.

Contact your Customer Success Manager

Reach out to your assigned Planhat Customer Success Manager (CSM) directly via email to initiate cancellation. This is the primary cancellation channel — there is no self-service cancel button in the product.

Send written cancellation notice by email

If you don't have a CSM contact, email support@planhat.com or hello@planhat.com with a formal written notice of cancellation. Include your account name, contract reference, and the intent not to renew. Alternatively, submit via the contact form at https://www.planhat.com/contact/general or use the in-app live chat (question mark icon in the top-right gray bar).

Export your data before termination date

Before your contract ends, export all customer data using Planhat's spreadsheet export (CSV/Excel) or API export. Per the Terms of Service (Section 3.5), Planhat deletes customer data at or shortly after termination with no stated grace period.

Obtain written confirmation of cancellation

Ensure you receive a written acknowledgment from Planhat confirming your cancellation and the effective end date. Keep this on file to protect against unintended auto-renewal charges.
