Review your Oracle contract

Locate your Oracle Cloud Services Agreement (CSA) and Ordering Document. Look for the termination clause and the required notice period — typically 30 to 60 days before the renewal date. Confirm whether early termination penalties apply. This document governs your right to cancel.

Export and back up all data

Before initiating cancellation, export all critical HCM data (employee records, payroll history, benefits, org charts) using Oracle HCM Cloud's Data Export tools. Navigate to Navigator > Tools > HCM Extracts or use the HCM Data Loader export functionality. Oracle typically grants 30–60 days post-termination to retrieve data before permanent deletion.

Contact your Oracle Account Manager in writing

Send a formal written cancellation notice to your dedicated Oracle Account Manager or Sales Representative via email. Include: your company name, Oracle Customer Support Identifier (CSI) or Order Number, the service being cancelled ('Oracle HCM Cloud'), and the intended termination date. Request written confirmation of receipt. Do NOT rely solely on a phone call — written notice is typically required by contract.

File a support request on Oracle Support Portal

Log in to support.oracle.com with your Oracle Single Sign-On (SSO) account. Click 'Create Service Request', select your HCM Cloud product, and choose 'Subscription/Billing' as the problem type. State your intent to cancel the subscription and reference your account manager correspondence. This creates a formal paper trail and escalates the request to the Oracle Subscription Management team.

Respond to Oracle retention outreach

After submitting your cancellation, expect contact from Oracle's retention or renewal team offering concessions such as reduced pricing, flexible payment terms, or feature upgrades. Review any counter-offer carefully but do not let retention calls delay your formal notice deadline. Confirm in writing if you are declining any counter-offer and restate your cancellation intent.

Obtain written cancellation confirmation

Request a formal termination confirmation letter or email from Oracle that states the exact cancellation/end date, any final billing amounts, and confirmation that services will stop on the agreed date. Do not consider the cancellation complete until you receive this written confirmation. Archive all correspondence.

Verify final billing and service deactivation

Log in to oracle.com/cloud/sign-in.html or your Oracle Cloud Console to verify the subscription status changes to 'Terminated' or 'Inactive' on the effective date. Review your final invoice through the Oracle Cloud Billing portal (Navigator > Billing) and confirm no unexpected charges post-cancellation. If your auto-renewal was already processed, dispute it via the support ticket.
